Exporting & Closing a File

Download a ZIP of approved documents and a branded cover sheet, then close the file.

When all required documents are approved, you can export the complete package and close the loan file.


The Export tab

Go to the Export tab on any loan file to see the export summary:

"3 of 5 items approved · 7 confirmed files ready"

  • Items approved — how many checklist items have Approved status
  • Confirmed files ready — total number of uploaded files across all approved items

You don't need all items to be approved before exporting — you can download partial exports at any point.


Export options

Cover sheet (PDF)

A branded PDF summarizing the loan file. Includes:

  • Your company name and logo
  • Borrower name and loan type
  • A table listing all items with their status
  • Your NMLS number (if configured)

Good to include when handing off to a lender or underwriter.

Document ZIP

A ZIP archive containing all uploaded files from approved items, organized into folders by category:

Only Approved items are included. Items with any other status are excluded from the ZIP.


Closing a file

Once you've exported the documents and submitted them to the lender, close the file to archive it.

Go to the file's Settings tab and click Close File. Confirm when prompted.

What happens when you close:

  • The file status changes to Closed
  • The borrower's portal link stops working (access is revoked)
  • The file moves to the Closed filter in your Loan Files list
  • All file data and documents are retained (subject to plan retention policy)
  • Chat and checklist history remain viewable but are read-only

Closing is reversible in the sense that data is kept, but you cannot re-open a file to active status. If you need to continue work, create a new file.


Deleting a file

To remove a loan file, go to Settings tab → Delete File.

Deletion removes the file from your dashboard immediately. All uploaded documents and messages are permanently deleted within about a minute. The loan file record and audit log are preserved. This cannot be undone.

Only delete files that were created by mistake. For completed loans, use Close File — closing preserves the record and documents for your plan's retention period before purging.


Data retention after closing

How long documents are kept depends on your plan:

Plan Retention after closing
Free 30 days
Starter 90 days
Pro 180 days

After the retention period, the file transitions to deleted status and all uploaded documents and messages are permanently removed from storage. The loan file record, checklist history, and audit log are preserved indefinitely. Export anything you need before the retention period ends.
