Working the Checklist
Review uploads, approve items, and request re-uploads from the checklist.
The Checklist tab is the main workspace for a loan file. It shows all document requests, their current status, uploaded files, and message threads — everything in one view.
Checklist layout
Items are grouped by category:
- Income — pay stubs, W-2s, tax returns, 1099s
- Assets — bank statements, investment accounts
- Identification — government-issued ID, SSN documentation
- Property — purchase contract, appraisal, HOA information
- Other — anything that doesn't fit the above categories
Each item shows:
- The document name and description
- A status badge (see Document Statuses)
- An upload count if files have been submitted
- A Q&A button with an unread badge if there are new messages
Reviewing uploads
When a borrower uploads files, the item's status changes to Partial or Uploaded and a paperclip badge appears with the count. To review:
- Click on the item row or the file count badge to open the upload panel
- Preview each uploaded file in the browser
- Decide to approve or request a re-upload
Approving an item
Once you've reviewed the uploads and they look good:
- Open the item's action menu (the
···button on the right) - Select Approved
The status badge turns green. The item is now counted toward the export total. The borrower sees the Approved status in their portal.
Requesting a re-upload
If a document is incomplete, wrong, or unclear:
- Open the item's action menu
- Select Needs Re-upload
The status turns red in both your checklist and the borrower's portal. BorrowerDocs displays a prompt in the portal asking the borrower to upload a corrected version. Use the Q&A thread to explain what needs to be fixed.
Changing status manually
You can set any item to any status at any time from the action menu:
| Status | When to use |
|---|---|
| Requested | Reset an item back to the default state |
| Partial | Borrower has started uploading but more is needed |
| Uploaded | Files are in — awaiting your review |
| Approved | Reviewed and accepted |
| Needs Re-upload | Documents were submitted but don't meet requirements |
Adding custom requests
To add a document request that wasn't in the template pack:
- Click Add Request (top right of the checklist)
- Enter a title and description
- Choose a category
- Click Add
The new item appears in the checklist immediately and shows up in the borrower's portal.
The Add Request button is hidden when the file is closed. Open files only.
Per-item Q&A
Each checklist item has its own message thread for questions specific to that document. Click the Q&A button on an item to open the thread. An amber badge shows the number of unread messages from the borrower.

Checklist summary
At the top of the checklist you'll see:
- Total items — all requests in the file
- Approved — count of approved items (green)
- Outstanding — items not yet approved (amber)
Use this to quickly gauge progress at a glance.
