Mortgage document checklist (self-employed borrower)
Self-employed mortgages don't get delayed because the borrower is complicated. They get delayed because the documentation needs to tell a clean story, and vague requests make that hard.
A good self-employed checklist does two things: it asks for the right docs in the right order so you don't overwhelm the borrower, and it gets the "why" docs up front so underwriting doesn't pile on conditions later.
Start here: the self-employed starter set
These are the items worth requesting in the first wave, before you have full program details.
Identity
- Government-issued photo ID (driver's license or passport)
Business ownership
- Business license, or a CPA letter confirming ownership and duration of self-employment
- If applicable: articles of organization, operating agreement, or partnership agreement
- EIN confirmation letter (if easily available)
Assets
- Last 2 months of personal bank statements, all pages including blanks
- If using business funds for down payment: last 2 months of business bank statements, all pages
Send these in the first message. Once you have them, you'll know more about what the income picture looks like and can request the right documents for wave two.
Income documentation
This is where self-employed files usually get messy. Request all of the following, but include a brief note for each one so the borrower doesn't guess.
- Personal tax returns, last 2 years (all pages and all schedules)
- Business tax returns, last 2 years (for S-corp, partnership, and C-corp filers)
- Year-to-date profit and loss statement (signed by the borrower or prepared by a CPA)
- K-1s (if the borrower receives income from a partnership or S-corp)
- 1099s (if applicable)
A note worth including with the P&L request: "Please upload a signed PDF. If your accountant prepared it, ask them to sign and date it."
Common condition triggers (preempt them now)
Underwriting flags these constantly on self-employed files. The earlier you get them, the less back-and-forth later.
Large deposits. Any deposit that's 50% or more of the monthly qualifying income usually needs a letter of explanation plus a source document (transfer confirmation, check copy, etc.).
Business funds used for down payment. If the borrower is pulling from a business account, underwriting will want to see that the withdrawal doesn't harm the business's operating balance. A CPA letter or business bank statement showing the balance before and after typically handles this.
Declining income year-over-year. If the borrower earned more in year one of the tax returns than year two, underwriting will ask about it. Get ahead of this by asking the borrower if their income has been trending up or down recently. The income calculation underwriters use averages two years and weighs year-over-year declines heavily.
Business existence verification. Some programs want third-party confirmation that the business is operating. A business license, a professional website, or a listing on a state business registry usually qualifies.
Borrower upload guidance that actually reduces rework
Include these instructions on the request itself, not buried in an email:
- Upload PDFs whenever possible. Photos and screenshots get rejected for being illegible more often than anything else.
- Include all pages of statements, even blank ones. Lenders count pages.
- Name files by account and month if you can: Chase_Business_2026-01.pdf. It prevents version confusion if you need a re-upload.
Requesting docs without 20 back-and-forth emails
Use one request per document type. Don't send "please upload your business bank statements AND your tax returns AND your P&L." Send each as a separate checklist item with its own instruction. When the borrower uploads something incomplete, you can re-request that specific item with a specific reason without touching the rest of the list.
And when you do re-request: say what's missing, not just that something is missing.
"Thanks for uploading. Underwriting needs all pages of your Chase Business statement for January 2026. The upload we have appears to be missing pages. Please download the full PDF from Chase's website and re-upload it."
That gets results. "Please re-submit your bank statements" gets another screenshot.
